EXPO<\/strong> STAND\/SPACE<\/strong> BOOKING FORM<\/strong><\/span><\/td>

Exhibitors are kindly requested to email Expo Stand\/Space<\/strong> Booking<\/strong> Form<\/strong> to expo@iaom-mea.com <\/a><\/span>(downloadable from IAOM-MEA website).<\/p>

Requested expo stand will be subject to availability at the time of confirmation.<\/p><\/td><\/tr>

ONLINE<\/strong> REGISTRATION<\/strong><\/span><\/p>

FOR<\/strong> PARTICIPATION<\/strong> AND<\/strong> BADGE<\/strong> COLLECTION<\/strong><\/span><\/p><\/td>

Upon receiving confirmation of stand number, it is mandatory<\/strong> all exhibitors should register online <\/strong>to collect their exhibitor\/participant badge upon arrival from the registration desk on 25th October 2022 at the basement of Verde Hotel Reception.<\/td><\/tr>

FACE<\/strong> MASK &<\/strong> SOCIAL<\/strong> DISTANCING:<\/strong><\/span><\/p>

(All are subject to changes in Covid-19 regulations)<\/span><\/p><\/td>

Exhibitors and their staff MUST properly wear face mask all the time. Social distancing of at least 1.5 meters should be maintained at the expo hall.<\/p>

Do not allow more than 2 people to access\/visit your expo stand at a time.<\/p><\/td><\/tr>

BOOTH ALLOCATION<\/strong><\/span><\/td>

It is tradition of IAOM-MEA that we consider exhibitors on First Come First Serve Basis which entitles the main sponsors of the event to obtain the booths at the prime locations of expo hall. The priority for corner stands and the stands around the coffee stations will be given to sponsors and exhibitors who hires multiple stands\/space (T&C apply).<\/p>

The allocation of stands will be done solely on discretion of IAOM-MEA regional office based on the availability.<\/p><\/td><\/tr>

COMPLIMENTARY<\/strong> REGISTRATION<\/strong> POLICY<\/strong><\/span><\/td>

2 (Two) Complimentary entries for 9m2\u00a0expo stand and 1 (One) complimentary entry for each additional space of 9m2\u00a0hired.<\/p>

C<\/strong>OMPLIMENTARY<\/strong> ENTRY IS STRICTLY VALID ONLY FOR<\/strong> EMPLOYEES<\/strong> OF REGISTERED EXHIBITING COMPANY <\/strong>(<\/strong>NOT<\/strong> FOR<\/strong> SISTER<\/strong> CONCERNS<\/strong>)<\/strong><\/p>

No additional complimentary registrations will be issued. IAOM- MEA will provide booth staff exhibitor badges and the number of which is based on the total number of booths hired.<\/p><\/td><\/tr>

EXPO<\/strong> FLOOR<\/strong> PLAN<\/strong><\/span><\/td>

The expo floor plan is available online for selection of your desired stand which is subject to availability. IAOM-MEA reserves the right to modify the floor-plan as necessary to meet the demand for more expo stands based\u00a0 on the request from exhibitors.<\/p>

The IAOM-MEA Expo will be held in Marque erected adjacent side of Verde hotel, Zanzibar.<\/p><\/td><\/tr>

CANCELLATION<\/strong><\/span><\/td>It is understood between the IAOM-MEA and the exhibitor that the space contract must be cancelled in writing on or before August 31st,\u00a0 2022. 100% Cancellation fee will be levied if any cancellation request received after September 1st, 2022.<\/td><\/tr>
EXPO<\/strong> STAND<\/strong> SETUP<\/strong><\/span><\/td>

EXHIBITORS WILL BE ALLOWED TO ACCESS THE EXPO HALL TO SET UP THEIR EXPO STANDS FROM 12PM TO 6PM ON 25TH\u00a0OCTOBER 2022.<\/p>

Exhibitors are requested to be ready at 8:00AM on 26th\u00a0October 2022 for final inspection prior official opening of the Conference and Expo.<\/p>

Custom<\/strong> made<\/strong> expo<\/strong> stands should be done only through<\/strong> IAOM-MEA official stand contractor<\/strong>. IAOM-MEA will not<\/strong> entertain third party contractors working at Expo<\/strong> Tent\/Marquee unless special written permission is<\/strong> obtained from IAOM-MEA Expo Manager <\/strong>and Verde Hotel management.<\/p>

IAOM-MEA organizers\/Verde should not be held responsible for any damage(s)\/liabilities caused by third party contractor\/s contracted by exhibitors. Any damages to the venue property will be levied directly from the exhibitor.<\/p><\/td><\/tr>

FLOOR<\/strong> WEIGHT<\/strong> TOLERANCE<\/strong><\/span><\/td>

5 TONs (Max.) per 9sqm stand<\/strong><\/p>

M<\/strong>ACHINES<\/strong> \u00a0WEIGHING \u00a0MORE \u00a0THAN \u00a0<\/strong>3 \u00a0<\/strong>TONS<\/strong> \u00a0<\/strong>MUST \u00a0<\/strong>BE<\/strong> PLACED<\/strong> ON SPREAD PLATES<\/strong>.<\/strong><\/p><\/td><\/tr>

HEIGHT<\/strong> RESTRICTION<\/strong><\/span><\/td>Custom<\/strong> made<\/strong> stand\/booth<\/strong> height should NOT exceed<\/strong> more<\/strong> than 3mtrs max.<\/strong><\/td><\/tr>
DISMANTLING of<\/strong> BOOTHS<\/strong><\/span><\/td>

Dismantling of expo stands and removal of exhibit materials \/ equipment is permitted from 4:00pm onwards on 28th\u00a0October 2022.<\/p>

All Exhibit Materials \/ Equipment must be removed from Expo tent latest by 23hrs on 28th October 2022.<\/b><\/p>

IAOM-MEA RESERVES THE RIGHT TO IMPOSE FINE OF US$ 100\/- ON ANY EXHIBITORS DISMANTLING OR LEAVING THEIR EXPO BOOTH UNATTENDED BEFORE THE FINAL DAY (28th<\/p>

October 2022).<\/p><\/td><\/tr>

RE-EXPORT<\/strong> and<\/strong> REMOVAL<\/strong> of EXHIBITS<\/strong><\/span><\/td>

The exhibitor should hand over all expo materials for re-export to IAOM-MEA\u2019s official freight forwarding company\/ representative onsite by 2pm on October 28th, 2022.<\/p>

The exhibitors should remove all their exhibits\/equipment, valuable belongings from their expo stands before the end of the show.<\/p>

IAOM-MEA organizers and their contractors should not be held responsible if any exhibits left unattended\/lost.<\/p><\/td><\/tr>

INSURANCE<\/strong><\/span><\/td>Exhibitors shall insure their own exhibits (machineries\/equipment) and display materials etc. Exhibitors should obtain Public Liability Insurance combined single limit or bodily injury, accident and property damage combined per incident.<\/td><\/tr>
SMOKING<\/strong><\/span><\/td>Smoking is strictly prohibited within the Expo Tent\/Marquee and its surroundings.<\/td><\/tr>
OPERATION<\/strong> RESTRICTIONS<\/strong><\/span><\/td>

Exhibitors must confine their activities to their contracted space. Exhibitors will not be permitted to use strolling entertainment or to distribute samples or souvenirs except from their own booth. Exhibitors using music in their booth either live or mechanical must provide IAOM-MEA with a copy of Exhibitor\u2019s licensing agreement. Further, should Exhibitor play music, Exhibitor agrees to indemnify and hold IAOM-MEA organizers harmless from any action brought against IAOM-MEA by Tanzanian licensing authority for playing of such music. Exhibitors must comply with all safety provisions as required by the expo tent facilitated by Verde Hotel and its fire brigade.<\/p>

Use of motorized equipment and forklifts by exhibitors are not permitted. The venue management\u2019s HSE Manager will control the access to the loading docks in order to provide safe and orderly move-in\/ move-out. No pets or animals allowed into the IAOM-MEA Expo premises.<\/p>

Each exhibitor must not erect any display materials which may block the view from the aisle of the adjoining booths except by special arrangement with IAOM-MEA Expo Manager. No display material may extend\/overlay the boundaries of any booth or booths nor may any exhibitor employ or use such materials that will interfere with the operation and comfort of the adjoining exhibitors. Branding\/hanging commercial signs from the exhibit hall ceiling are subject to prior written approval from Expo Manager.<\/p><\/td><\/tr>

PROMOTION<\/strong> RESTRICTION<\/strong><\/span><\/td>

IT IS FORBIDDEN TO DISTRIBUTE OR PLACE PROMOTIONAL LEAFLETS\/PRODUCT BROCHURES, PROMOTIONAL MATERIALS IN OTHER BOOTHS\/TABLES LOCATED AROUND THE CONFERENCE AND EXPO AREAS, CORRIDORS AND COFFEE STATIONS ETC. **<\/p>

SPONSORS ARE EXEMPTED FROM THE ABOVE AND ALLOWED TO DISTRIBUTE OR PLACE THEIR PROMOTIONAL MATERIALS WITHIN THE DESIGNATED AREA**<\/p>

BREACHING THE RULES AND REGULATIONS STIPULATED HERE MAY RESULT IN IMMEDIATE REMOVAL FROM THE EXHIBITION HALL AND NO REFUND OF EXPO STAND\/ PARTICIPATION FEE WILL BE ENTERTAINED. IAOM-MEA RESERVES THE RIGHT TO BAN THE EXHIBITOR FROM PARTICIPATING\/EXHIBITING IN THE FUTURE IAOM-MEA EVENTS DEPENDS ON THE SEVERITY OF VIOLATIONS MADE.<\/p><\/td><\/tr>

EXPO<\/strong> REGULATIONS<\/strong><\/span><\/td>IAOM-MEA Expo registration badge must be worn by all participants entering the Expo. The admission to the expo tent is restricted only to the conference and expo participants. The expo hall is guarded 24hours. During the expo hours the security guards at the expo entrances will be monitoring participant\u2019s badges. The exhibitors will be allowed to access the expo area only from 8:00 am to 4pm and entry after closure of expo marquee\/tent will not be granted.<\/td><\/tr>
LOSS,<\/strong> DAMAGE<\/strong> AND<\/strong> INJURY<\/strong><\/span><\/td>IAOM-MEA organizers are not responsible for any injury, loss or damage that may occur to the Exhibitor\u2019s employees or property from any cause whatsoever. IAOM-MEA is not liable for any injury, loss or damage which may be sustained by any person who may be on the premises leased or rented to the Exhibitor or watching, observing or participating in any demonstration or exhibit of Exhibitors. If IAOM-MEA should be held liable for Exhibitor\u2019s action or failure to act in any matter whatsoever, the Exhibitor shall reimburse IAOM-MEA for all expenses incurred including legal fees and hold IAOM- MEA harmless from any resulting liability.<\/td><\/tr>
INDEMNIFICATION<\/strong><\/span><\/td>The exhibitor assumes the risk of all damage, loss costs and expenses and agrees to indemnify and hold blameless the International Association of Operative Millers, its officers, directors, agents and employees from and against any and all liability, damage, loss costs, attorney fees and expenses, which may be sustained by it, its officers, directors, agents or employees on account of any claim, suit or action made or brought against the International Association of Operative Millers its officers, agents or employees for the death of or injury to persons or destruction of property involving exhibitor sustained in connection with the leasing of exhibit space at the International Association of Operative Millers Annual Conference & Expo.<\/td><\/tr><\/tbody><\/table>
