EXPO STAND/SPACE BOOKING FORM

 

Exhibitors are kindly requested to email Expo Stand/Space Booking Form to expo@iaom-mea.com (downloadable from IAOM-MEA website).


Requested expo stand will be subject to availability at the time of confirmation.

 

ONLINE REGISTRATION

FOR PARTICIPATION AND BADGE COLLECTION

Upon receiving confirmation of stand number, it is mandatory all exhibitors should register online to collect their exhibitor/participant badge upon arrival from the registration desk on 10th October 2021 at Dubai World Trade Centre.

FACE MASK &

SOCIAL DISTANCING:

 

Exhibitors and their staff MUST properly wear face mask all the time. Social distancing of at least 1.5 meters should be maintained at the expo hall.

As per the UAE COVID 19 Protocol more than 2 people at a time in the expo booth is forbidden.

BOOTH ALLOCATION

 

It is tradition of IAOM-MEA that we consider exhibitors on First Come First Serve Basis which entitles the main sponsors of the event to obtain the booths at the prime locations of expo hall. The priority for corner stands and the stands around the coffee stations/lunch area will be given to sponsors and exhibitors who hires more than 9/18 sqm space.


The allocation of stands will be done solely on discretion of IAOM-MEA regional office based on the availability. 

COMPLIMENTARY REGISTRATION POLICY

2 (Two) Complimentary entries for 9m2 expo stand and 1 (One) complimentary entry for each additional space of 9m2 hired.


Complimentary entry is strictly valid only for employees of registered exhibiting company (not for sister concerns)


No additional complimentary registrations will be issued. IAOM-MEA will provide booth staff exhibitor badges and the number of which is based on the total number of booths hired.

 

EXPO FLOOR PLAN

 

The expo floor plan is available online for selection of your desired stand which is subject to availability. IAOM-MEA reserves the right to modify the floor-plan as necessary to meet the needs of exhibitors on exceptional cases and if demand for expo stands increases.


The IAOM-MEA Expo will be held in the Sheikh Rashid Hall of Dubai World Trade Center (DWTC) in Dubai City of United Arab Emirates.


CANCELLATION

 

It is understood between the IAOM-MEA and the exhibitor that the space contract must be cancelled in writing on or before August 31st, 2021. 100% Cancellation fee will be levied if any cancellation request received after September 1st, 2021.

 

EXPO STAND SETUP

 

EXHIBITORS WILL BE ALLOWED TO ACCESS THE EXPO HALL TO SET UP THEIR EXPO STANDS FROM 12:00 Hrs TO 18:00 ON THE 10th October 2021.

 

Exhibitors are requested to be ready at 8:00AM on 11th October 2021 for final inspection prior official opening of the Conference and Expo.


Custom made expo stands should be done only through IAOM-MEA official stand contractor. IAOM-MEA will not entertain third party contractors working at Expo Hall unless special written permission is obtained from IAOM-MEA Expo Manager and Dubai World Trade Center authorities.

 

IAOM-MEA organizers/DWTC should not be held responsible for any damage(s)/liabilities caused by third party contractor contracted by exhibitors and will be at their own risk/cost.

 

FLOOR WEIGHT TOLERANCE

 

5 TONs (Max.) per 9sqm stand

Machines weighing more than 3 tons MUST be placed on spread plates.

 


HEIGHT RESTRICTION

 

Custom made stand/booth height should NOT exceed more than 4mtrs max.

 

DISMANTLING of BOOTHS

 

Dismantling of expo stands and removal of exhibit materials/ equipment is permitted from 4:00pm onwards on 12th October 2021.


ALL EXHIBIT MATERIALS/EQUIPMENTS MUST BE REMOVED FROM EXPO HALL LATEST by 23Hrs ON 12th October 2021.


IAOM-MEA RESERVES THE RIGHT TO IMPOSE FINE OF US$ 100/- ON ANY EXHIBITORS DISMANTLING OR LEAVING THEIR EXPO BOOTH UNATTENDED BEFORE THE FINAL DAY (12th October 2021).

 

RE-EXPORT and REMOVAL of EXHIBITS

 

The exhibitor should hand over all expo materials for re-export to IAOM-MEA’s official freight forwarding company/ representative onsite by 2pm on October 12th, 2021.


The exhibitors should remove all their exhibits/equipment, valuable belongings from their expo stands before the end of the show.


IAOM-MEA organizers and their contractors should not be held responsible if any exhibits left unattended/lost.

 

INSURANCE

 

Exhibitors shall insure their own exhibits (machineries/equipment) and display materials etc. Exhibitors should obtain Public Liability Insurance combined single limit or bodily injury, accident and property damage combined per incident.

 

SMOKING

 

Smoking is strictly prohibited in the Sheikh Rashid Hall and within the Dubai World Trade Center (DWTC).

 

OPERATION RESTRICTIONS

 

Exhibitors must confine their activities to their contracted space. Exhibitors will not be permitted to use strolling entertainment or to distribute samples or souvenirs except from their own booth. Exhibitors using music in their booth either live or mechanical must provide IAOM-MEA with a copy of Exhibitor’s licensing agreement. Further, should Exhibitor play music, Exhibitor agrees to indemnify and hold IAOM-MEA harmless from any action brought against IAOM-MEA by U.A.E licensing authority for playing of such music. Exhibitors must comply with all safety provisions as required by the expo hall facility and Dubai fire brigade.


Use of motorized equipment and forklifts by exhibitors are not permitted. The DWTC Exhibition Services/HSE Manager will control the access to the loading docks in order to provide safe and orderly move-in/ move-out. No pets or animals allowed into the IAOM-MEA Expo/DWTC premises.


Each exhibitor must not erect any display materials which may block the view from the aisle of the adjoining booths except by special arrangement with IAOM-MEA Expo Manager. No display material may extend/overlay the boundaries of any booth or booths nor may any exhibitor employ or use such materials that will interfere with the operation and comfort of the adjoining exhibitors. Branding/hanging commercial signs from the exhibit hall ceiling are subject to prior written approval from Expo Manager.

 

PROMOTION RESTRICTION

 

IT IS FORBIDDEN TO DISTRIBUTE OR PLACE PROMOTIONAL LEAFLETS/PRODUCT BROCHURES, PROMOTIONAL MATERIALS IN OTHER BOOTHS/TABLES LOCATED AROUND THE CONFERENCE AND EXPO AREAS, CORRIDORS AND COFFEE STATIONS ETC. **


SPONSORS ARE EXEMPTED FROM THE ABOVE AND ALLOWED TO DISTRIBUTE OR PLACE THEIR PROMOTIONAL MATERIALS WITHIN THE DESIGNATED AREA**


BREACHING THE RULES AND REGULATIONS STIPULATED HERE MAY RESULT IN IMMEDIATE REMOVAL FROM THE EXHIBITION HALL AND NO REFUND OF EXPO STAND/ PARTICIPATION FEE WILL BE ENTERTAINED. IAOM-MEA RESERVES THE RIGHT TO BAN THE EXHIBITOR FROM PARTICIPATING/EXHIBITING IN THE FUTURE IAOM-MEA EVENTS DEPENDS ON THE SEVERITY OF VIOLATIONS MADE.

 

EXPO REGULATIONS

 

IAOM-MEA Expo registration badge must be worn by all participants entering the Expo. The admission to the expo hall is restricted only to the conference and expo participants. The expo hall is guarded 24hours. During the expo hours the security guards at the expo entrances will be monitoring participant’s badges. The exhibitors will be allowed to access the expo area only from 8:00 am to 4pm and entry after closure of expo will be strictly prohibited.

 

LOSS, DAMAGE AND INJURY

 

IAOM-MEA organizers are not responsible for any injury, loss or damage that may occur to the Exhibitor’s employees or property from any cause whatsoever. IAOM-MEA is not liable for any injury, loss or damage which may be sustained by any person who may be on the premises leased or rented to the Exhibitor or watching, observing or participating in any demonstration or exhibit of Exhibitors. If IAOM-MEA should be held liable for Exhibitor’s action or failure to act in any matter whatsoever, the Exhibitor shall reimburse IAOM-MEA for all expenses incurred including legal fees and hold IAOM-MEA harmless from any resulting liability.

 

INDEMNIFICATION

 

The exhibitor assumes the risk of all damage, loss costs and expenses and agrees to indemnify and hold blameless the International Association of Operative Millers, its officers, directors, agents and employees from and against any and all liability, damage, loss costs, attorney fees and expenses, which may be sustained by it, its officers, directors, agents or employees on account of any claim, suit or action made or brought against the International Association of Operative Millers its officers, agents or employees for the death of or injury to persons or destruction of property involving exhibitor sustained in connection with the leasing of exhibit space at the International Association of Operative Millers Annual Conference & Expo.
